WHAT DOES A WAGE AND INVESTMENT SECRETARY (OA) DO? Wage and Investment Secretaries provide a wide range of administrative and secretarial services within the organization. This includes using a variety of computer applications, organizing and maintaining files, providing telephone and receptionist services, managing calendars, arranging conferences and meetings, typing and reviewing correspondence and meeting minutes, arranging travel itineraries, monitoring time and recordkeeping, briefing the manager on important issues, and working with and assisting various customers within and outside of the organization. As a Wage and Investment Secretary (OA) GS-8/9 you will:
Serve as the Liaison between the manager and subordinate staff members and other key officials. Assure understanding and clarification of the manager's views on all problems and issues. Exercise exclusive control over and maintain the manager's calendar with authority for commitments of time; schedule and coordinate appointments, engagements, and conferences; prepare notes regarding topics to be discussed. Screen all calls and visitors, answering most questions and completing most business in an authoritative and accurate manner based on knowledge of the manager's views and an awareness of all matters in which he/she is currently involved. Conduct a thorough review of all correspondence, determine deadlines and offer suggestions concerning actions to be taken. Ensure an orderly and efficient flow of work and resolve various problems and situations that affect the flow of work. Control suspense items. Prepare and type a variety of correspondence, reports, forms, requisitions, and legal documents using personal computers. Organize and maintain files, records, manuals, handbooks, and other related materials, including safeguarding confidential information. Recommend changes in administrative policies. Devise and install office procedures and practices to be used by secretaries in subordinate offices. Consolidate comments from management officials, and summarizes material for conferences. Make travel arrangements and prepare travel vouchers. You must have 1 year of specialized experience at a level of difficulty and responsibility equivalent to the GS-7 grade level in the Federal service. Specialized experience for this position includes:
Screening calls and visitors to the office, referring to staff members and forwarding to the supervisor only those calls or visitors requiring that person's attention; Scheduling appointments and making commitments for the supervisor to attend meetings, luncheons, etc., without prior approval; Arranging travel and also conferences, and when required, recording and transcribing minutes; Reading all incoming correspondence, determining proper action, at times preparing answers before referring to the supervisor; Writing simple or complex non-technical correspondence; Reviewing outgoing correspondence, reports and other documents prepared by professional employees in the organization, ensuring proper format, mathematical correctness, correct grammatical content, and ascertaining that all necessary coordination of facts has been completed and is in accordance with established policy; Briefing supervisor on important and office related facts, issues, and reports; Providing administrative support services; Instructing and assisting other secretaries on procedural matters such as the correct procedures to follow in preparing correspondence; and preparing correspondence for the supervisor's signature; Retrieving, gathering, and generating data, as well as using various word processing, spreadsheet, slides, and statistical data computer software applications in order to create, manipulate, compute, report, retrieve, print and transmit data. GS-9 LEVEL:
You must have 1 year of specialized experience at a level of difficulty and responsibility equivalent to the GS-8 grade level in the Federal service. Specialized experience for this position includes:
Obtaining needed background information before referring calls and visitors, and referring items of special importance or only those calls or visitors to the supervisor; Scheduling appointments and making commitments for the supervisor to attend meetings, luncheons, etc., without prior approval; Arranging travel and meetings and conferences and assembling material for agenda items; Reviewing action documents for grammar, format, clarity of information, ascertaining that all necessary coordination of facts has been completed and is in accordance with established policy, and preparing correspondence in conformance with the supervisor's viewpoint or for the supervisor's signature; Serving as liaison and briefing supervisor on important and office related facts, issues, reports, programs, and activities; Instructing and assisting other secretaries on procedural matters such as the correct procedures to follow in preparing correspondence and conducting periodic training sessions; Performing administrative support assignments; and Retrieving, gathering, and generating data, as well as using various word processing, spreadsheet, slides, and statistical data computer software applications in order to create, manipulate, compute, report, retrieve, print and transmit data. - The experience may have been gained in the public sector, private sector or Volunteer Service. You must have been at the next lower grade level of the grade you are applying to for 52 weeks (time-in-grade requirement).

Estimated Salary: $20 to $28 per hour based on qualifications.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
