We are seeking a dynamic and proactive Front Desk Coordinator to join our team.
In this role, you will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support to our consulting team.
This is a fantastic opportunity for an individual with a strong administrative background, excellent communication skills, and a keen eye for detail.
The ideal candidate will be comfortable in a fast-paced environment, have the ability to multitask, and have a passion for providing excellent service.
Responsibilities:
Serve as the first point of contact for our clients and visitors, providing a warm welcome and managing all incoming calls and messages.
Manage the company calendar, scheduling appointments, meetings, and consultations.
Prepare for meetings by organizing necessary materials and setting up the meeting space.
Coordinate travel arrangements for consultants, including flights, accommodations, and transportation.
Maintain an organized and efficient filing system, ensuring all data and documents are accurately recorded and easy to locate.
Perform data entry tasks, ensuring all client information is up-to-date and accurate.
Utilize MS Office Suite to create and edit documents, spreadsheets, and presentations.
Assist with other administrative tasks as needed, such as ordering office supplies and maintaining a clean and welcoming office environment.
Qualifications:
Minimum of 2 years of experience in a similar role, preferably within an office setting.
Proficient in MS Office Suite (Word, Excel, PowerPoint, and Outlook).
Excellent typing skills, with a strong attention to detail.
Exceptional communication skills, both written and verbal.
Proven experience in managing a busy calendar and coordinating travel arrangements.
Experience in data entry and file management.
Ability to work in a fast-paced environment, multitask, and prioritize tasks.
Strong customer service skills, with a friendly and professional demeanor.
Ability to handle sensitive information with discretion.
Proven experience in preparing for meetings and providing administrative support.
Experience in answering phones and taking messages in a professional manner.
